Reservation

Getting Ready (Tours)
Once you have reserved your trip, you will receive a Travel Planner with information such as arrival and departure details, tips for preparing for your tour, area information, Emergency Contact Information form and a packing list.
Prices
Published prices are based on costs at the time of publication. We reserve the right to change published prices at any time and to use the corrected price in determining the amount due for a tour at the time a reservation request is processed. We reserve the right to increase the cost of your holiday if the Government imposes new taxes or increases existing taxes, the currency fluctuates, or fuel charges increase. We will inform you of any increases.
Payments
A non-refundable deposit of 50%, is required to reserve your place on every tour. The due date for the 50% deposit is within seven (7) days of reservation. Once we receive your deposit we will send you an invoice for the balance of the tour cost. This must be paid not less than 30 days before the start of the tour (or by an alternative date agreed between you and the company). For tours booked less than 30 days before travel date, a full payment is required at the time of reservation and all other travel documents have been issued, unless you make alternative arrangements with the company. If you do not pay your balance by the agreed time, the company reserves the right to cancel your booking or pursue any unpaid monies. Payments of deposit enables us to hold a reservation for you but does not guarantee the price. The price can only be guaranteed once we receive a full payment and all other travel documents have been issued subject to any terms and conditions of the supplier. Should you request for additional services, products, etc., you shall be charged any additional costs incurred.

•No show (No refund for amount paid)
•There is no refund for leaving the tour early or arriving late
NOTE
Payments can be made by bank transfer/wire, bank deposit, MOMO (Ghana). We reserve the right to refuse personal cheques as a method of payment.
Cancellation Policy
Payment for the tour is a fundamental part of the tour’s income and contributes to the overall cost of equipment, running costs, staffing, administration, etc. As the Company will have incurred the majority of its costs before the tour starts, we need to impose cancellation charges to cover these costs.
Deposit & Non-Refundable
If you cancel your booking, cancellation charges will be imposed per person as follows:
•30 days or more prior to tour date – loss of deposit
•15-29 days before tour date – 30% of tour cost*
•7-4 days before tour date – 50% of tour cost*
•6 or fewer days tour date – 100% of tour cost*
•* or deposit if greater
Tailor-made tours may be subject to alternative cancellation terms, which will be communicated to applicable Clients at the time of booking.
All cancellations must be in writing by the person who did the booking and seNt to us via email.
There are no refunds for any part of the program that you choose to opt out of or do not use once tour begins.
Cancellation by Company
We reserve the right to cancel the contract between us for any reason prior to your payment of the full price of the trip. In this case, we will refund in full any amount that you have already paid us. After you have paid in full, we will only cancel the contract if circumstances beyond our control make it unavoidable. Such circumstances include, but are not limited to, civil or political unrest, terrorism, natural disaster, or other force majeure circumstance. In the unlikely event that such circumstances arise, we will contact you immediately and offer you the choice of equivalent services or a full refund of all monies paid. No additional compensation will be paid over and above the total sum received from you.
Alteration of Iternaries
It is unlikely that the Company will have to make changes to your tour. However, we may occasionally have to make changes either before or after you have booked. Most changes will be minor and will be communicated within the shortest time to tourist in writing, indicating the type of modification and the change in price that follows. The tourist also reserves the right to accept or decline any changes and can exercise his/her rights to make modification or cancel reservation in writing but charges will apply.
All reservation changes are subject to availability and the terms and conditions of the product purchased.
The Company reserves the right to alter the itinerary after departure, without paying compensation, if it is in your interest to do so. Furthermore, the Company will not pay compensation if it is forced to cancel or in any way change the tour due to unforeseeable circumstances, such as war, riots, civil strike, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, or other material external circumstances beyond the Company’s control.
Travel Insurance
Risks are always associated with travel hence an Insurance is a vital part of your travel arrangements. Jex Travel and Tours does not assume any responsibility or liability for any loss of or damage to personal belongings or property, including loss or theft of such items, flight delays or cancellations, or for any personal or bodily injury or loss sustained during or as a result of the tour. We therefore strongly recommend that you make arrangements for insurance for your travel with a reputable insurer with protection for the full duration of the tour, personal injury, medical expenses, repatriation expenses, loss of luggage and other expenses associated with your tour/visit. If you become ill, all hospital expenses, doctor fees, and repatriation costs are your responsibility and the Company shall not be liable for any refund of the tour cost. If you do not have travel insurance at the beginning of the tour, please inform us and we will arrange coverage with a local insurance company for an additional fee.
Passport Visa & Immigration Requirement
It is your responsibility to fulfil the passport, visa and other immigration requirements applicable to your itinerary unless otherwise stated in our packages. You should confirm these with the relevant embassies and/or consulates. We do not accept any responsibility in the case you are unable to travel due to not complying with any such requirements. We can offer assistance services on visa and advice on the most applicable visa for your travel. You can contact us whenever the need arises. You are also required to carry a valid International Student I.D., and or International Youth I.D. or an International Teacher I.D. if you are travelling on a special student/youth/teacher ticket. It is your responsibility to verify this with our travel expert who is assisting you.
Travel Advice and Vaccination
All nationalities are advised to seek travel advice from their state Department of travel websites or contacts for all countries they intend to visit. Vaccinations may be required for some or all of the places you are intending to visit. It is your responsibility to ensure that you have arranged all necessary vaccinations for your itinerary.
Documentation
All documents are sent electronically to clients whenever possible. We pay close attention to details of your request to ensure that the right and corresponding documents are sent to you by mail for your thorough study and confirmation. We reserve the right to charge an administration fee if you request for a hard copy of your documents.
Photographs
We will take pictures of individual and group activities for use in brochure/publicity. Please notify us if we are not free to use photographs of you.
